Our Terms & Conditions

Welcome to Tanzania Safari Club. Please read these Terms & Conditions carefully before booking your safari or travel package. By making a booking with us, you agree to be bound by these terms.

These Terms & Conditions apply to all safari packages and bookings arranged by Tanzania Safari Club, a UK-based tour operator, and cover all services provided directly by us or by our trusted Tanzanian partners.


1. Booking Your Safari

  • All bookings must be made in writing via our website or by email: hello@tanzaniasafariclub.com. Verbal bookings are not confirmed until acknowledged in writing.

  • Bookings are only confirmed once a booking summary and invoice have been issued and a deposit has been received.

  • Full guest information is required to confirm a booking, including: full name, nationality, passport number, and age of any children, and relevant medical conditions (including allergies).

  • We reserve the right to decline a booking at our discretion.


2. Provisional Bookings and Deposits

  • Provisional bookings are held for a limited time, as specified in the booking summary. After this date, the booking will automatically expire.

  • Confirmation requires a 30% deposit of the total package price unless otherwise agreed.

  • The remaining balance must be received no later than 12 weeks before the safari start date. Failure to pay by this date may result in cancellation and loss of deposit.


3. Payment and Currency

  • Prices are quoted in GBP, but we may accept USD or other European currencies; exchange rates at the time of payment will apply.

  • Payment methods include bank transfer, online payment systems, or other methods agreed in writing. Cash payments require prior agreement.

  • Any increase in taxes, park fees, concession fees, or other government-imposed charges will be passed on to the client, even after full payment.


4. Cancellation and Amendments

  • All cancellations or amendments must be made in writing.

  • Cancellation charges are as follows:

    • More than 6 weeks before first service: loss of deposit

    • 4-6 weeks: 50% of the total invoice

    • 6-3 weeks: 75% of the total invoice

    • Less than 3 weeks: 100% of the total invoice

COVID-19 and Travel Disruptions

  • If travel is disrupted due to government travel advisories or unavailable flights, clients may defer travel up to 12 months, provided notice is given at least 30 days prior to travel.

  • Any increase in costs (taxes, park fees, unavoidable cost increases) will be passed onto the client.

  • Third-party services may be subject to their own terms.

  • Clients should check their travel insurance coverage for COVID-19 or similar events.


5. Travel Documents and Visas

  • Clients are responsible for ensuring all travel documents, passports, and visas are valid.

  • Most Tanzanian visas can be obtained online via: https://eservices.immigration.go.tz/visa/

  • Failure to obtain the correct documentation is the responsibility of the traveller.


6. Health and Safety

  • Clients must ensure they are medically fit for travel and consult their doctor regarding vaccinations, malaria prophylaxis, and other health precautions.

  • Tanzania Safari Club is not qualified to provide medical treatment; clients must bring necessary medications and basic first aid supplies.

  • Allergies, dietary requirements, or special needs must be declared at booking and check-in.

  • Clients must exercise caution in national parks; wildlife is free to roam. Children should be supervised at all times.

  • Participation in activities is at your own risk; some activities may require signing a waiver.


7. Insurance

  • Comprehensive travel and health insurance is mandatory.

  • Insurance should cover cancellations, medical treatment, air evacuations, and other emergencies.

  • Lack of insurance does not waive cancellation fees.


8. Liability

  • Tanzania Safari Club acts as an agent for third-party suppliers (lodges, transport operators, guides).

  • We accept no liability for loss, injury, illness, or death, except where required by UK law.

  • We are not responsible for delays, cancellations, or losses caused by:

    • Weather or natural events

    • War, terrorism, or civil unrest

    • Disease outbreaks or pandemics

    • Airline or transport operator disruptions


9. Complaints

  • Any complaints during your safari should be reported immediately to the lodge or driver, or tour management.

  • A written record of the complaint must be submitted and signed before departure.

10. Force Majeure

  • We are not liable for failure or delay in performing obligations due to circumstances beyond our reasonable control, including natural disasters, strikes, or government actions.


11. Governing Law

  • These Terms & Conditions are governed by UK law, and any disputes will be subject to the exclusive jurisdiction of UK courts.
